PURPOSE
To provide high-level administrative, logistical, and
coordination support to the Managing Director (MD) by effectively planning,
organizing, and managing official meetings, events, travel, correspondence, and
documentation to ensure the MD’s office runs efficiently and professionally.
THE JOB
- Organizes
all aspects of the MD’s travel, including flight bookings, accommodation, visa
processing, and itinerary preparation. Travel plans are cost-effective,
accurate, and align with the MD’s schedule.
- Plans
and organizes official meetings on behalf of the MD, prepares meeting agendas,
collates materials, records minutes, and ensures follow-up actions are tracked.
Meetings are well-organized, timely, and effectively documented.
- Plans,
organizes, and manages official events, conferences, and engagements in liaison
with relevant internal and external stakeholders. Events are professionally
executed and aligned with organizational objectives.
- Manages
incoming and outgoing mails, liaises with courier agents for timely delivery,
and processes related monthly invoices for payment. Mail and courier
transactions are handled promptly and invoices processed without delay.
- Provides
day-to-day administrative and secretarial assistance to the MD’s office,
ensuring smooth operations and confidentiality. Tasks completed efficiently and
in accordance with corporate protocols.
THE
PERSON MUST HAVE
- Have
strong organizational and planning skills to manage complex schedules,
coordinate travel arrangements, and organize meetings and events.
- Have
excellent written and verbal communication skills to draft professional
correspondence, reports, agendas, and minutes.
- Have
strong attention to detail to ensure accuracy in travel plans, documentation,
and meeting records.
- Be
proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and
possess good digital literacy skills.
QUALIFICATIONS
- Minimum of bachelor's degree in business administration, Management, Secretarial Studies, or related field.
EXPERIENCE
- Minimum of 5 years’
experience providing executive or administrative support at senior management
level.
